STEP 1: .
Under the My Enrolment panel there will be a list of courses previously enrolled in. The "not yet registered" indicates that you have not class registered yet for those courses. If your enrolment appointment is open for the term you intend to class register, you will be able to start the process by clicking on "Vary enrolment".
Note: You can check the details of your "Enrolment Appointment" on myGifu-city, under your student profile on the left hand side of the screen.
STEP 2: You will now be able to see the details of the program you are studying. Click the "Update Enrolment" button on the right-hand side to proceed.
STEP 3: If you are happy with your enrolled courses, please click on "Register for Classes"
Note: On this page under the Enrolled/Registered column, you will see icons indicating the successful completion of each stage in the enrolment process. The amber triangle icon indicates that action is required while a green tick indicates successful completion.
The following example indicates you have not class registered for ARTS1270 and are yet to enrol and register in ARTS1630. All actions can be completed by selecting Register for Classes.
When class registration is open for a term, "open" will appear in the class registration column. The amber triangle icon next to Term 2 also indicates that action is required for that term.
STEP 4: Select classes for your enrolled courses.
Note: You can find course class information on the left hand side of the page. Please note that there are multiple class types that you may have to select from, for example, tutorials, lectures and labs. At the bottom of the screen the coloured key will assist you with understanding the status of your chosen classes.
STEP 5: Begin creating your timetable.
Note: There are a number of ways to create your timetable.
- The first way is to manually select your classes. You can choose your preferred days and times on the left hand side of the screen. When you start filling your timetable, you may see staggered tiles, as highlighted in the following image. If these remain grey, it indicates that these classes occur at the same time, but in alternate weeks. You can see the week by week view by clicking on the "show weeks" icon and using the arrows to scroll through the weeks. Click on the "show overview" to go back to the consolidated timetable view.
At this point, you can continue to make changes to your timetable options, including removing and replacing classes. It is possible for you to completely remove classes and start your timetable again.
For more extensive class details, click on the information icon next to each class. This will redirect you to the class information page. On this page, you can see the days, times, venue, teaching weeks and instructors for that class. Click back to return to the class registration page.
The filter at the top of the page will allow you to filter the classes available in your list by day and by time period of the day.
2. The second way to create your timetable is to use the auto timetable functionality. If you want to have a timetable created for you, you can scroll down and select "Auto Timetable." If you have made a selection in the filter or added a "User Event", the auto timetable will take these selections into consideration. You are able to make changes to the classes created in your auto timetable by clicking alternate classes in the list.
STEP 6: Once you are happy with your timetable, click "Register for Classes". This will take you to the confirm enrolment request page.
STEP 7: Review your course and class information and when you are ready to complete your class registration, click on the "Submit Enrolment Request" button.
A green ‘success’ icon will appear next to each course if the class registration has been completed.
STEP 8: Click on the "Back to Courses" icon to take you back to the main course enrolment page. You will note that the icons that were previously amber, should now be green.
Note: Your detailed class information can be accessed under each course by clicking on the arrow.
To vary your class selection within a course:
Click on "Register for Classes". The tiles that were previously grey will now be blue to indicate your registered classes. If you start making changes, the colour of the tiles will indicate whether those changes are permissible. In the following example, the Monday 10am class selection has created a class clash, therefore an alternative class will need to be selected.
If you do make changes to your class timetable, you will need to repeat the steps above to confirm your changes. Once you have gone though the steps, you will be taken back to the course enrolment main page.
Note: You are not able to swap or drop your courses on this page.
Step 1: Click on the "swap" button on the Course Enrolment page.
Step 2: You will be taken to the Course Search page where you can populate an alternative course and select "Search".
Step 3: Select the appropriate Course offering and click "Select Course".
Step 4: You will be taken to the swap classes timetable page via the Course Enrolment page where you can choose to proceed to proceed, cancel your swap request or add additional swap requests before registering for your new classes.
Step 5: When ready, click on "Register for Classes" to select your new classes with the option of adjusting your existing classes to resolve any clashes or improve your timetable.
Once you are happy with your selections, click the "Submit Enrolment Request" button. You will then proceed through the class registration steps as explained previously.
The main enrolment page will now show your confirmed swapped course and class details.
The class search page allows students to search for courses via a range of criteria at the course and class level.
It should be a quick and easy reference to view multiple courses and live enrolment data to help inform your decision.
Step 1: Click on "Class Search" under the My Student Services section
Step 2: Select the Term and the class information you are interested in viewing.
You may find it useful to select Subject and then restrict the search by Career or Catalogue Number.
Search Results display the course capacity on the first row with the registration class details beneath.
The User Events feature allows you to add time blocks for other activities onto your timetable so that they can be taken into account when enrolling.
By using this feature with the auto timetable function, the system will try to avoid a clash with the User Event but will clash the activities if there is no other option. Clashes with user events will NOT stop you from enrolling.
You can turn this on or off by selecting the event in the same way you would select a class
Step 1: Click on "Edit User Events" found at the bottom left of the Class Registration page.
Step 2: Click on "Add New Event".
Step 3: Enter the event details. In the example below, the student works on Mondays and wants to avoid having any classes allocated on the Monday.
Click on "Save Changes" once all the information is entered.
The event has been successfully recorded and you can edit or delete it at any time.
Step 4: To show the event on your timetable, click on the event and it will show up as a yellow block and be taken into account during enrolment.
